Fortiq is gym management software built for fitness centers in Sri Lanka — member management, attendance tracking, payments and renewals, and owner-facing reporting in one dashboard.

We started building Fortiq after watching how much of a gym owner's week gets lost to admin that has nothing to do with running a gym: chasing renewal dates in a notebook, reconciling a cash drawer against a spreadsheet, texting a coach's schedule around manually. None of that needs a person doing it by hand.

Fortiq is currently in public beta and free to use — the guides below cover the specific problems it's built to solve, and the posts further down are what we're shipping and sharing as we build it.

Why manual attendance sheets stop scaling past 150 members. Attendance tracking is the first thing that breaks as a gym grows — here's the point most Sri Lankan gyms feel it.

Most fitness centers start with a logbook at the front desk or a shared spreadsheet a coach updates between sessions. That works fine at low member counts. The trouble starts once a gym crosses roughly 150 active members: check-ins overlap, handwriting gets misread, and by month-end nobody can say with confidence who actually trained that week.

The fix isn't more discipline at the front desk — it's removing the manual step entirely. Gym management software that logs attendance automatically at check-in gives owners a live, queryable record instead of a pile of paper to reconcile later. That record is also what makes renewal timing, coach payouts, and no-show follow-ups possible without guesswork.

Fortiq's attendance tracking was built around this exact failure point: every check-in is timestamped and tied to a member profile automatically, so the report an owner needs at month-end already exists — it doesn't need to be assembled.

The real cost of running member management on spreadsheets. Spreadsheets don't fail loudly — they fail by quietly losing renewal dates and member history.

A spreadsheet is a reasonable place to start gym member management. It's free, everyone knows how to use it, and for a single-location gym with a handful of staff it can hold up for a while. The failure mode isn't a crash — it's slower and harder to notice: a renewal date gets overwritten, a payment gets logged in the wrong row, or a member's history simply isn't there when a dispute comes up.

Purpose-built gym management software closes that gap by tying every payment, renewal, and attendance record to one member profile that can't be accidentally edited out of existence. For an owner, that means being able to answer 'when did this member last pay, and for how long' in one click rather than a search through tabs.

This is the specific gap Fortiq is built to close for fitness centers in Sri Lanka — one member record, one source of truth, instead of a spreadsheet that grows harder to trust every month.

The renewal date is the single most important field in your gym's data — and the easiest one to get wrong by hand.

A gym's entire revenue rhythm runs on renewal dates: they decide who gets a reminder call, who's about to lapse, and what next month's income actually looks like. When that date lives in someone's memory or a notebook, it drifts — a payment taken on the 3rd gets logged against the 1st, a pre-payment for next month never gets reflected, and by the time anyone notices, a member has already trained for two weeks unpaid.

The fix isn't just tracking payments — it's tying an expiry date to every payment automatically, while still letting an admin override it for edge cases like part-payments, discounts, or a member who pays in advance for a trip. That balance of 'automatic by default, editable when needed' is what makes the numbers trustworthy enough to act on.

This is exactly how payment and renewal tracking works in Fortiq: an expiry date is calculated the moment a payment is recorded, and an admin can always adjust it — nothing about it depends on someone remembering to update a sheet later.

If your coach schedule lives in a WhatsApp group, you don't actually have a schedule — you have a search problem.

It's a common pattern: a gym owner builds the week's coaching roster in a group chat, changes get posted as new messages, and anyone who wants to know 'who's covering the 6am slot on Thursday' has to scroll back through the thread to find the most recent version. It works until two people scroll back to different points and both show up thinking they're covering the same slot.

A schedule only stays useful if there's one current version everyone reads from, not a chat log everyone has to reconstruct. That's a small thing on paper, but it's one of the more common day-to-day frustrations gym owners raise when asked what's actually annoying about running the place.

Coach scheduling in a proper fitness center management app solves this by making the current schedule the only version that exists — no history to scroll through, no conflicting screenshots, just what's true right now.

Most gyms can tell you how much cash came in last month. Fewer can tell you why it changed from the month before.

Total revenue is the easiest number to pull from a cash drawer or a bank statement, and it's also the least useful one on its own. A gym owner deciding whether to invest in new equipment, hire another coach, or run a promotion needs to know where that number came from: new member signups versus renewals, which membership tier is actually driving revenue, and whether attendance is trending up or down before it shows up in the money.

That kind of breakdown is hard to produce by hand every month — it requires cross-referencing payments, memberships, and attendance records that usually live in different places (or different rows of the same spreadsheet). By the time it's assembled, the month is already over and the decision window has passed.

Owner-facing reporting in Fortiq pulls from the same records attendance and payments already create, so this breakdown exists automatically rather than being a monthly research project.
